Who we are

Switched On World Ltd is a solar, battery, and electrical installation company based in Kilifi, Kenya. In this policy “we” means Switched On World Ltd, and we are the data controller for the personal data described below.

What this policy covers

This policy covers two things: this website, and the Switched On field app — an Android app issued to our own installation crews for recording site visits, work done, and time worked. The field app is not a public product; it is only usable by someone with a Switched On staff account.

Most of what follows is about the field app, because that is where we collect the most data.

What the field app collects, and why

  • Your account details — name, email address, and profile picture. These come from your Switched On staff account when you sign in; the app never asks you to create a separate password.
  • Your location, including while the app is closed. This is explained in full in section 04.
  • Photos you take or choose as evidence of work on site, together with the coordinates and time recorded on the photo. Section 05 covers this.
  • What you write in the app — job notes, updates, and messages to colleagues on a job.
  • Your time entries — when you clocked on and off, against which job, and whether the time was on site or travelling.
  • A notification token for your device, so we can send you job notifications.

We collect all of it for one purpose: running installation jobs and paying people correctly for the work they did. We do not use any of it to build a profile of you, and we do not use it for advertising.

Location, including in the background

If you turn on automatic check-in, the field app collects your location in the background — including while the app is closed. It is used for two things, and nothing else:

  • Arriving at and leaving a customer site. The app watches a small zone around each site on your job list. When you enter or leave one, it records the visit so it lands on your timesheet without you having to remember.
  • Your route during working hours. Monday to Saturday, from 07:00 to 17:00 — and after 17:00 only while your timer is still running — the app records your position periodically so travel between jobs can be attributed correctly. Outside those hours it does not record your route.

Automatic check-in is off until you switch it on, the app explains this before asking Android for permission, and you can switch it off again at any time on the app’s Settings screen. Turning it off stops both kinds of collection.

Photos

Photos you take in the app, or pick from your gallery, are uploaded to the job they belong to as a record of the work. Where the photo carries a location and a capture time, we store those with it, so it is possible to confirm a photo was taken at the site it claims to be.

The app reads your photo library only to do this. It does not scan, index, or upload anything you have not chosen.

Where it is stored, and who else sees it

The system of record is our own ERPNext installation, which we operate. Some data also passes through or is stored by service providers we use to run the app:

  • Vercel— hosts this website and the app’s API.
  • Neon — the database behind the website and dashboard.
  • Expo — delivers push notifications. Expo receives your device notification token and the content of the notification in order to deliver it.

These providers process data on our instructions in order to provide their service. We do not sell personal data, we do not share it for advertising, and we do not give it to anyone else except where the law requires it.

What we do not do

The field app contains no analytics, advertising, or third-party tracking software of any kind. It does not access your microphone, your contacts, your calendar, your call log, or your messages.

How long we keep it

Different things are kept for different lengths of time.

  • The detailed location trail — the periodic positions recorded while you are working — is kept for six months and then deleted. The site visits it produces (which job, when you arrived, when you left) are kept with the job, because those are the timesheet record rather than a trail of your movements.
  • Photographs are kept for as long as we keep the installation record they belong to, so that we can still answer questions about work we did on a site years later.
  • Timesheets, and the pay records built from them, are kept for as long as Kenyan employment and tax law requires us to keep employment records.

Leaving Switched On does not change this: job and pay records stay for as long as the law requires them to, and the location trail still ages out after six months.

Your rights

Under the Kenya Data Protection Act, 2019 you can ask us for a copy of the personal data we hold about you, ask us to correct it if it is wrong, ask us to delete it where we are not required to keep it, and object to how we are using it. Ask at support@switchedon.world and we will respond.

If you are not satisfied with how we have handled it, you also have the right to complain to the Office of the Data Protection Commissioner.

Changes to this policy

If we change what we collect or why, we will update this page and change the date at the top. If the change is significant, we will tell crews in the app as well.
